Microsoft Outlook 2010 – Oops! Prevent CTRL+ENTER from Sending a Message

16 Oct

Prevent Outlook 2010 from interpreting an accidental CTRL+ENTER as a request to send the current e-mail / message.

You may be used to CTRL+ENTER placing a page break inside a Microsoft Word 2010 document. However, this does not work in Microsoft Outlook 2010. The first time you hit it, Outlook 2010 displays a dialog box warning you that pressing this keyboard combination will actually send the current message. If you are the type of person who skims through dialog boxes (ahem), you might accidentally check the box saying that you don’t want to be warned again, and then click the “Yes” button. Or you might do this intentionally at first, thinking it is a useful feature, allowing you to send a message without having to take your hands off the keyboard.

… and then later, disaster strikes when you are composing an e-mail while still in the Word 2010 mindset. You may start typing a draft message, press CTRL+ENTER thinking that you are inserting a page break, and oops! Outlook 2010 sends your draft message! And you know that e-mail is just about impossible to recall once sent. So if this scenario has happened to you, how can you get the dialog box to come back, or better yet completely disable this “feature” altogether?…

Microsoft Outlook 2010 – Where is the Blind Carbon Copy Feature?

16 Oct

Send a copy of an e-mail via Blind Carbon Copy so all recipients are not shown.

Have you ever sent an e-mail to someone and needed to send a copy to their supervisor, coworker, or family member, and did not want the original recipient to know everyone to whom you are sending a copy? Or do you need to send e-mail to dozens or hundreds of people, such as an ad hoc mailing list you manage, and do not wish everyone to see each other’s e-mail address?

Most e-mail programs support a feature called BCC, or Blind Carbon Copy, allowing you to send e-mail to a person or group of people and keep those recipient addresses hidden. Microsoft Outlook 2010 has such a feature as well, but you need to know where to look……

Microsoft Outlook 2010 – Enlarge or Change the Calendar Date Navigator Font

10 Sep

Make the Date Navigator easier to read in Outlook 2010, or customize the font.

If you find the small font of the Date Navigator in Microsoft Outlook 2010 difficult to view, or you find it hard to click on the small day numbers, you may wish to enlarge the font.

Especially if you have a larger monitor and resize the Navigation pane, you can increase the font size by a few points. Or, for the sake of customization you may also wish to change the font entirely from its default….

Microsoft Outlook 2010 – Change 15 Minute Default Reminder Time

20 Aug

Configure Outlook 2010 when it reminds you and others about upcoming appointments.

When creating appointments or meetings in Microsoft Outlook 2010, while reminder times can be set on a per-appointment basis, the default is to display a reminder 15 minutes before the actual event is to occur.

You or the attendees may find that 15 minutes is not enough time for a reminder, wanting to allow for time to finish up an e-mail or tweet, take a bathroom break, etc. Alternatively, you might find that 15 minutes is too much time, believing that no time is more productive than the last minute, and wish to provide reminders closer to the event time….

Microsoft Outlook 2010 – Show Total Number of Items in a Folder Instead

10 Aug

Instead of just showing the number of unread items inside a folder in Outlook 2010, show the total item count.

In Microsoft Outlook 2010, the Navigation Pane shows the Inbox underneath “Favorites” and then as another link below in the full folder list. The “Favorites” link shows the total number of items in the Inbox, while the link in the folder list shows only the count of new (unread) items.

By default, Outlook 2010 displays the number of new items next to folders. If you would rather show the total number of items in a particular folder instead, do the following quick tweak:…

Microsoft Outlook 2010 – Show Week Numbers in the Calendar

06 Aug

Add week numbers when viewing Outlook 2010 calendars to calculate meeting dates that must occur every 3 or 4 weeks instead of monthly.

It might prove useful when viewing calendars in Microsoft Outlook 2010 to show week numbers. Perhaps there is an ongoing project where participants convene for a status review every three weeks, or you might have a regular lunch networking group that meets every four weeks or so instead of monthly.

The following tip shows how to add week numbers when viewing calendars in Month view, or when displaying calendars in the To-Do Bar:…

Microsoft Outlook 2010 – Display Formatting Marks When Editing Email

20 May

Display formatting marks for paragraphs, spaces, tabs, and other characters when editing e-mails and other items in Outlook 2010.

You may have Microsoft Word 2010 configured to show formatting marks when editing documents. Examples of these marks include dots to signify spaces (to help ensure you don’t have too many between words), right arrows to signify tabs (to differentiate between tab characters and just a group of spaces), and pilcrows to signify new paragraphs.

If you are accustomed to seeing these marks you can enable them in Microsoft Outlook 2010 when editing e-mails, even when doing so in plain-text mode:…

Microsoft Outlook 2010 – Show More Calendar Months in the Right Pane

30 Oct

Configure Outlook 2010 to show more calendar months in the To-Do Bar on the right side of the application window.

On the right side of the Microsoft Outlook 2010 window is the “To-Do Bar”. By default, this shows the current calendar month, upcoming appointments, and a list of Tasks.

If you would like to, at a glance, see the next calendar month as well in the To-Do Bar, perform the following tweak. You can add even more months, though this will require a higher resolution / window size to view them all. Also, simultaneously viewing more months may push the appointment and Task displays off the screen….

Microsoft Outlook 2010 – Force Spell Check to Occur Before Sending Emails

30 Oct

To help avoid embarrassing mistakes, configure Outlook 2010 to always spell check your e-mail before sending it.

Microsoft Outlook 2010 automatically corrects many common spelling errors via its AutoCorrect features, and words not found in the dictionary are marked with red squiggles. However, if you type up a quick e-mail and press the “Send” button, it can be easy to glance over possible spelling errors.

You can configure the software to automatically spell check documents once you hit the “Send” button, displaying dialog boxes as it finds possible misspellings and asking you how to correct them. While running a spell checker automatically won’t guarantee your documents will be free from errors, it probably won’t hurt. Plus, if you’re in a hurry and have to get an e-mail sent ASAP (errors or not), you can abort the spell check operation….
